Airport Meet and Greet: What a Chauffeur Collection Should Include

Meet and greet is a planned handover from arrivals to vehicle. These are the details that make it clear, discreet and useful.

“Meet and greet” should mean more than a name board. It is the sequence that connects a live flight, a passenger emerging from arrivals, luggage and a vehicle positioned within the airport’s access rules.

Before the flight arrives

The booking should identify the flight, date, terminal, lead passenger, destination and contact number. Reservations uses those details to brief the chauffeur and define the expected meeting point. If a child, older passenger or traveller requiring assistance is involved, that context belongs in the brief as well.

Flight monitoring provides an operational signal when the schedule changes. It does not reveal why a passenger is delayed after landing, so a working mobile contact remains essential.

At the arrivals hall

The chauffeur waits at the confirmed landside location with the agreed name on a clear board. For a discreet collection, the board can use initials, a company name or another identifier agreed in advance. The passenger should know what to look for before the flight.

Large terminals can have several exits and meeting zones. The confirmation should be specific enough to follow without guesswork, while the reservations contact remains available if the passenger comes through a different route.

Luggage and the walk to the vehicle

A chauffeur can assist with luggage once the passenger is met. Airport rules determine where vehicles may wait and how collections move from terminal to car park or authorised pickup area. A short walk or lift journey may be part of the handover.

Tell the team about the number and size of cases before arrival. Assistance is easier when the correct boot capacity has already been arranged.

When someone else is booking

Executive assistants, hotels and family members often arrange airport travel. Keep the organiser as a booking contact and provide the traveller’s mobile separately. The traveller receives the meeting information; the organiser can receive confirmation and material updates.

This simple separation protects privacy and avoids sending every operational message to the wrong person. It also makes repeat journeys easier to manage through a corporate or private client profile.

Frequently asked questions

Does meet and greet happen before immigration?

No. Chauffeur collections normally take place landside after the passenger has completed immigration, baggage reclaim and customs.

Can the name board be discreet?

Yes. Ask for initials, a company name or another agreed identifier when a full passenger name is not appropriate.

What if I cannot find the chauffeur?

Use the contact details in the confirmation and remain at the agreed meeting point unless the reservations team directs you elsewhere.
