London Airport Transfers for Families: A Booking Checklist

A family airport collection runs more smoothly when ages, seats, luggage and assistance needs are confirmed before the journey.

Family travel combines passengers, seats, cases, cabin bags and timings that may not move at the same pace. The best transfer is prepared around the whole party rather than treated as a standard car booking.

Count every traveller and every seat requirement

Provide the number of adults and children, each child’s age, and any seat or restraint request. UK requirements depend on the child and journey, so reservations needs the information before confirming what can be supplied. Never assume a particular seat will be present unless it appears in the confirmation.

If you prefer to use your own seat, say so and include it in the luggage plan. The chauffeur still needs enough capacity for the seat when it is not in use.

Describe the luggage as it will actually travel

Family groups often have more than suitcases: pushchairs, changing bags, travel cots, sports equipment and shopping all use space. List checked-in cases and cabin bags, then add every bulky item in the notes.

An executive van can provide a calmer layout for a larger party and keeps the main luggage area separate. For a small family travelling lightly, a saloon or SUV may be appropriate. Ask the team to recommend rather than relying on passenger count alone.

Make the arrivals handover simple

Put the lead passenger’s name and mobile number in the booking. Agree the name-board wording and ensure the traveller knows the meeting point. If grandparents, a nanny or another family member is travelling separately, state who the chauffeur should expect to meet.

Flight monitoring helps with arrival changes, while a message from the passenger covers delays at immigration or baggage reclaim. One clear channel is better than several family members contacting the chauffeur independently.

Plan for the destination, too

Hotels may have more than one entrance; rented apartments may require key collection; private homes may have gates or limited stopping space. Add the full postcode and access notes. If the family needs a food, pharmacy or second accommodation stop, include it before the quotation.

A late arrival can be tiring for children. Preparing those details in advance lets the journey move directly from airport to door with fewer decisions after landing.

Frequently asked questions

Can I request a child seat?

Yes. Provide the child’s age and relevant seat requirements before booking, and rely on the written confirmation for what will be supplied.

Which vehicle is best for a family airport transfer?

An executive van is often suitable for larger families or substantial luggage. A saloon or SUV may work for a smaller party; the reservations team can advise.

Can the chauffeur make an extra stop?

Yes, if it is included in the confirmed itinerary or agreed with reservations when plans change.
