A multi-stop booking works best when the chauffeur sees the day as one programme. That means every meeting, entrance and fixed deadline is briefed before collection, with a clear plan for what happens when the schedule changes.
Write the itinerary in local time
For each stop, include arrival target, meeting start, expected finish, full address, postcode, entrance and onsite contact. Mark lunch, luggage collection and passenger changes as separate movements rather than leaving them in notes.
If the day begins at an airport, add the live flight. If it ends at a station or terminal, add the required arrival time rather than only the departure time.
Add margins outside the driving time
Building reception, security, walking and lifts can consume the margin shown by a map. Add time for passengers to leave a meeting and return to the car. Where a venue has restricted stopping, the chauffeur may need to reposition and return on call.
The itinerary should show which meetings are immovable. That gives the organiser and reservations a basis for decisions when an earlier commitment runs late.
Choose hourly hire for continuity
A time-based booking keeps the same vehicle and chauffeur available within the agreed period. The passenger can leave documents or a coat in the cabin and avoids repeating preferences or access context to a new driver at every stop.
Hourly service still needs an expected finish area and time. It is flexible within a confirmed arrangement, not an unlimited open booking.
Communicate changes through one person
Nominate an executive assistant, passenger or roadshow coordinator to approve route changes. Send the revision to reservations, not only to the chauffeur, so the operational record and any implications remain clear.
For several passengers, state who joins or leaves at each stop. The vehicle recommendation should reflect the maximum party and luggage at any point in the programme.
