A private flight may depart early, hold for a slot, change handler or arrive after the original programme. The chauffeur plan should be flexible, but it still needs an authorised source of truth.
Decide who owns the update
The charter broker, crew, handler, executive assistant and passenger may each receive information at different times. Before travel, name one operational contact who can confirm the revised movement and one passenger contact for the physical handover.
Forwarding fragments to several chauffeurs or assistants creates parallel versions of the itinerary. Send the change to reservations, where the vehicle and driver brief can be updated centrally.
Send the change in a usable format
A useful update includes the airport, exact FBO, aircraft or flight reference, new local time and whether the onward destination has changed. If the handler moves, include the new access instruction. “Delayed by an hour” is not enough when several movements are being coordinated.
For a departure, state whether the passenger collection time should change or whether the FBO still requires the original arrival. The flight operator remains the authority on aviation timings.
Understand what flight monitoring can and cannot do
Public and operational flight information helps the reservations team follow a movement, but private-flight data may be limited or withheld. Direct updates from the authorised organiser or handler remain important.
Monitoring also cannot show when passengers will be ready landside, whether baggage loading has changed or which person has approved a new destination. Those are ground details and should be communicated directly.
Protect the rest of the itinerary
When an arrival moves, meetings, restaurant bookings, security windows and event access may also need adjustment. Tell reservations which commitments are fixed and which can move. The team can then assess whether the original road plan remains workable.
If the chauffeur is booked by the hour, clarify how the changed flight affects the agreed service period. A written revision prevents assumptions about waiting, additional time or a later collection.

Frequently asked questions
Will the chauffeur monitor a private flight?
Provide the best available flight or aircraft reference. Monitoring is used where information is available, alongside updates from the organiser or handler.
Who should report a changed arrival time?
The nominated operational contact should send the confirmed new local time and any FBO change to reservations.
What if the destination also changes?
Send the full revised address and schedule. The route, timing, availability and quotation may need to be updated.
